Vendor Guidelines

VENDORS/EXHIBITORS – WELCOME

Thank you for your interest in vending with us. Please scroll through the below  information to see the requirements and guielines for vending our upcoming April 5-6, 2025, South Georgia Reptile Expo. The Show will be held at the Mc Cray City Auditorium, Waycross GA (865 Pendleton Str, Waycross GA 31501).

The vendor/exhibitor application will be available to complete online in the link provided.

How do I become a Vendor/Exhibitor?

The vendor/exhibitor application will be available to complete online. Once it has been completed in its entirety, you will submit the form. 

 

Vendor Space and Pricing

The cost of spaces/tables is $75. All spaces are 10ft wide x 10ft deep and will include a single 8ft table and electrical access. You are allowed to bring extra tables as long as it fits in the space provided. All vendors will be required to bring table covers for all tables used. 

Vendors will be required to put down a 25% non-refundable deposit of full vendor fees to secure your space. Remaining vendor fees will be required to be paid in full by March 15th.  

 

Vendor Cancellations/No Shows/Early Breakdown

To give us ample time to find new vendors, please email us at info@southgeorgiareptileexpo.com if you need to cancel your tables. We will require 3 weeks’ notice prior to the show’s date for cancellations. Cancellations with less than 3 weeks’ notice will be invoiced for the remaining balance due for tables/spaces requested. Deposits paid will remain non-refundable unless cancellations are made within the 3 weeks’ notice period or due to extenuating circumstances. 

‘No Shows’ are those vendors that requested/committed/paid to vend the show and did not show up or cancel within the notice period. No Shows will be invoiced for the remaining balance of tables/spaces requested. Deposits will remain non-refundable. No Shows will be required to pay in full prior to vending any future shows.

Early breakdowns will be charged an additional $10 per table left unoccupied. No refunds are given for early breakdowns. 

 

Where do I set up?

As we get closer to the show, we will email you with directions and any other updates that you will need to know. 

Upon arrival at the Mc Cray Auditorium, you will need to find the Expo table to check in and check where your allocated space is. South Georgia Reptile Expo will do its best to space vendors in such a way that is beneficial to each vendors product offering. Our goal is to mix it up to give the public a good variety as they walk around. 

In an effort to make our show more attractive and cleaner, we are requiring each vendor to provide a table covering/skirt for each table that is in use. Vendors are required to provide their own table coverings.

All vendors/exhibitors are required to keep their own and surrounding areas clean, free of trash and swept up. You will not be allowed to leave on Sunday until your vendor area has been cleaned of all debris and trash. Please ensure that you have a trashcan available in your space to help keep it clean. 

 

When Can I Start Setting up? What are the Show Hours?

Set up will be available from 3-7 pm on the Friday evening before the show. Saturday set up will be available from 7am. 

Show Hours: 

Saturday VIP: 9am early access. General Admission: 10am – 6pm

Sunday VIP: 9am early access. General Admission: 10am – 4pm.

All vendors need to be packed up and out of the venue by 6pm on Sunday.



 

My Animals Require a Warm Environment, Can You Guarantee That?

Our exhibition hall is large and can be drafty in certain areas. We will do our best to accommodate you, but keeping the public comfortable may be too cool for your animals/plants. Please plan by supplying a heat source or temperature-controlled habitat for those animals that require it.

 

Can I Allow the Public to Handle My Animals?

Vendors who choose to remove their animals from their habitats or who allow the public to handle their animals will be responsible for controlling their animals at ALL times. Each vendor is exclusively liable for any damage to property or personal injury resulting from contact and/or handling of their live animal.

Each vendor will be held responsible for exhibiting their animals in safe, secure and attractive habitats. South Georgia Reptile Expo will not be held responsible for any escaped animals. Please ensure that all containers/habitats are properly secured overnight and during the show to avoid any escapes. Vendors will be responsible for recapturing and securing any escaped animals with minimal disruptions to other vendors and guests.
